Privacy Policy

Transparency on how Zeus handles data across the Ecclerium product suite.

This Privacy Policy describes how Ecclerium collects, uses, and shares information when you use the Zeus Modern app and related services (the "Service"). Using the Service is also governed by the Zeus Terms of Service.

1. Who this policy applies to

This policy applies to users of the Service, including business owners, managers, employees, and other authorized users of customer accounts.

2. Information we collect

We may collect the following categories of information:

  • Account information: name, email address, phone number, role, and organization details.
  • Business data: inventory, sales, orders, customers, employees, rooms, and other operational data entered into the Service.
  • Usage data: features used, pages viewed, actions taken, and timestamps.
  • Device and technical data: device type, OS version, app version, IP address, and crash logs.
  • Offline data: data stored locally (e.g., SQLite) and synced when the device reconnects.

If you use the Service on behalf of a business, your organization controls the business data and user access permissions.

3. How we use information

We use information to:

  • Provide and operate the Service.
  • Authenticate users and manage permissions.
  • Sync data across devices and enable offline functionality.
  • Improve performance, reliability, and user experience.
  • Provide customer support and communicate updates.
  • Comply with legal obligations and enforce our Terms of Service.

4. Sharing of information

We may share information with:

  • Service providers (hosting, analytics, support, error monitoring).
  • Your organization’s administrators (for user and access management).
  • Legal or regulatory authorities when required.
  • Successor entities in a merger, acquisition, or asset sale.
  • The AI assistant you connect to Zeus (Claude or ChatGPT), only when you connect it and ask it something. See Connected AI assistants.

We do not sell personal information.

5. Data retention

We retain information for as long as needed to provide the Service or as required by law. Your organization may delete or export data subject to its plan and permissions.

6. Security

We use reasonable administrative, technical, and organizational measures to protect information. No system is 100% secure; please use strong passwords and keep devices secure.

7. International transfers

If you access the Service from outside Nigeria, information may be processed in other countries where we or our providers operate.

8. Your rights

Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal information. If you are an end user in a business account, please contact your organization’s administrator. You can also contact us directly at admin@ecclerium.com

9. Children’s privacy

The Service is not intended for children under 13 (or the age required by local law). We do not knowingly collect data from children. The same applies to connecting an AI assistant: only a person with a Zeus account in a business can connect one.

10. Third-party services

The Service may integrate with third-party services (e.g., cloud hosting, analytics, or notifications). Their processing is governed by their own privacy policies. AI assistants you connect yourself are covered in the next section.

11. Connected AI assistants (Claude, ChatGPT)

You can connect Zeus to an AI assistant, Claude (by Anthropic) or ChatGPT (by OpenAI), and then ask it about your business or ask it to do things in Zeus for you. This section explains what that connection can reach, what leaves Zeus, and how to end it. How to set it up is on the Zeus for Claude & ChatGPT page.

  • Nothing is shared until you connect. You add Zeus in Claude or ChatGPT, sign in with your Zeus account on a Zeus page (the assistant never sees your password), choose one company, and approve a list of permissions. The connection works only in that company; to use another, you connect again and choose it.
  • The permissions you can approve are: see your tasks (tasks:read); create, update and complete tasks for you (tasks:write); see the sales pipeline (pipeline:read); add and move leads, log calls and visits and schedule follow-ups (pipeline:write); see your business figures, such as sales, profit, expenses, who owes you and whom you owe, stock and its movements, and how each outlet is doing (insights:read); see your bank balances, transactions, loans and statement reconciliation (banking:read); and stay connected without signing in again until you disconnect (offline_access).
  • Banking is optional: it is a separate box on the consent page, and you can untick it and still connect.
  • The assistant acts as you. It can only see and do what your own role allows in that company, only in the parts of Zeus the company subscribes to, and only within the permissions you approved. If your role changes or you leave the company, the connection follows that change on its next request.
  • It cannot move money. Business figures and banking are read only, and bank account numbers are shown only by their last four digits.

What data is accessed, and when

Zeus reads or changes data only when the assistant calls one of Zeus's tools, which happens when you ask it something that needs Zeus. Depending on the permissions you approved, that can include your company's tasks and their checklists, comments and expenses; sales leads, their contacts, activity and follow-ups; sales, profit, outlet, expense, debtor, payable and stock figures and stock movement records; and account balances, transactions, what was paid out of each account, loans, lending risk flags and bank statement reconciliation. Some of this is personal information about other people, such as your colleagues, customers, suppliers and borrowers, which your company holds in Zeus.

What is sent to the AI provider

  • The results of the tools the assistant calls are sent to the provider you chose, Anthropic for Claude or OpenAI for ChatGPT, so the assistant can answer you. Nothing is sent to a provider you did not connect, and nothing is sent when you are not using the assistant.
  • Once there, your conversation and those results are handled under that provider's own terms and privacy policy and your settings with them, not by Ecclerium. See Anthropic's privacy policy and OpenAI's privacy policy.
  • Ecclerium does not use your data, or anything from these conversations, to train AI models. We do not receive your conversations with the assistant: Zeus sees only the tool calls it makes.
  • If your organization has rules about which tools may handle its data, check with your administrator before connecting.

Tokens, logs and how long we keep them

  • Connection tokens. The assistant holds an access token that lasts one hour and, if you allowed it to stay connected, a refresh token that lasts 30 days and is replaced each time it is used. For each tool call, Zeus issues an internal token that lasts five minutes and is never given to the assistant. We store these tokens only in hashed form, and a refresh token that is reused after being replaced ends the connection.
  • The connection record. We keep a record of each connection (who made it, for which company, which app and which permissions) so it can be listed and ended in Zeus. Disconnecting removes it, together with its tokens.
  • Tool-call logs. For reliability and security, each tool call is logged with the tool's name, how it ended (for example succeeded, refused or failed), how long it took, your Zeus account and company identifiers and a request identifier. We do not log what you asked, what the tool was given or returned, task titles or comments, message content or any token. These logs are kept only as long as needed to run and secure the Service.
  • Changes the assistant makes for you, such as a new task or a moved lead, are ordinary Zeus records, recorded as made by you, and kept like the rest of your company's data (see Data retention).

Disconnecting

  • You can disconnect at any time in Zeus under Settings › Connected apps. Company administrators can see every connection to their company there and disconnect any of them.
  • A disconnected connection stops working immediately: the assistant's next request is refused, and it has to be connected again to use Zeus. Removing Zeus in Claude or ChatGPT stops the assistant using it; disconnect in Zeus as well to end the connection on our side.

Sensitive information

Banking and lending data, staff records and customer details can be sensitive. Leave banking unticked if you do not want the assistant to see it, and avoid asking the assistant for more personal information about other people than your task needs.

12. Changes to this policy

We may update this policy from time to time. We will post changes with an updated effective date.
